About this project

summary + followup

Josh Schwebel <privatejosh@gmail.com> To: The Employee <employee@forestcitygallery.com>, Director - Forest City Gallery <director@forestcitygallery.com>

hello █████ and Teresa,
I wanted to summarize the meeting we had on Monday, and followup with a few notes.

Project Activities
Since our project priority is grant applications, █████ will be drafting a calendar of deadlines for Canada Council, Ontario Arts Council, London Arts Council, and will be looking into funding opportunities and deadlines from Heritage Canada and from Trillium Foundation. Other possible funding sources would be also good to add here. If it would be possible to save this document in the drive folder linked here for easy access, that would be great.
We know that the deadline for CCA is October 24, and while FCG is in the second year of a four-year funding program, it is possible to increase the amount of funding received, by way of a report with a request for increased funding. This will be our first and top priority. I have also uploaded the copy of the previous funding application to the drive (Teresa, I hope that's ok with you).
In order to access FCG's online portal, █████ needs to figure out either how to link her personal account with FCG, or to create another account... TBD, but sooner is better, since these portals have a considerable delay before granting approval.

Public Project Announcement
I will draft the text for a press release to be circulated. I have a copy of █████'s photo and bio. I will write a short description of the project and send it to both of you to check over before we publish it.
I am also working on a didactic label to be installed on the wall of the gallery nearest the desk.
If it is possible to set up an appointment with a photographer on a day that █████ is on-site that would be great, but there is no hurry for this, as it is more for the publication than the press release.

Meetings
We decided, at least for the first steps of the project, to meet weekly. This can be any day of the week except Sunday or Monday.

Email Account
I am really happy that we have a project email account, thank you so much Teresa, and thank you █████ for flagging this!
As mentioned in the contract, I thought it might make sense to create an email signature pertaining to the project, as a way of both acknowledging the CCA as a funder (which I must do in my contract), and as a sort of documentation disclaimer (to let people know that the work might be included in documentation of the project). I wrote the following (see below). Let me know if you feel comfortable with this text or have any suggestions/amendments. If not, it would be great if this could be used at the bottom of the employee email account.

█████ ███████ — Fundraiser/Grantwriter
The employment of a fundraiser/ grant-writer on behalf of Forest City Gallery is the artistic work of Joshua Schwebel. The employee is funded by a grant awarded to the artist by the Canada Council for the Arts. This email and subsequent correspondence may be included in documentation of the artwork.

In-person / on-site
The gallery will not be open until Oct. 10, so █████ will work remotely until then. Once the gallery re-opens, it will be important to follow COVID safety protocols including wearing a mask and sanitizing the door handles after each visitor.

Payment and Contract
█████ has a link to the contract now, and will get back to me with questions and comments.
Teresa shared a timesheet that we can use as a template for the project that I have also put in the same drive folder. I am also going to create an invoice template for you to use █████.

Thanks to both of you.
If I have forgotten anything, if you have any questions or comments, etc., please let me know.
best,
Josh

Hi Josh,

Hi, Josh,

Yes, thank you for summarizing.

And I'm just looking at the uploaded material now.

Meanwhile, I have a question...and a suggestion.

First, you wrote, in order to access FCG's online portal, █████ needs to figure out either how to link her personal account with FCG, or to create another account.

I wasn't aware the gallery had a portal. I'll need a bit of guidance with how to sign in to that.

Second, I'd like to add the all-important "she/her" to the signature, but otherwise it looks great.

hi █████,
I believe that Teresa mentioned that you would be able to link your account with FCG's in order to be able to apply, since the official application will need to be submitted by way of FCG's account. I am not sure how to do this, but I imagine that Teresa can talk you through it.
Regarding the contract, you mean that you would like to add pronouns alongside your name on the Signature page? That is certainly fine with me, I can make this change.
Maybe when we meet on Tuesday we can sign the contract together online, in order to finalize the agreement?
x

Josh,

It's my understanding at this point that the portal and its associated "linking" are the Canada Council's. But I'll let Teresa confirm that. There may well be another portal I don't know about!

And, the "signature' I was referring to was the email signature you spoke of in your summary. I don't need pronouns on the contact, I don't think.

At any rate, signing said contract on Tuesday would be fine.
