I hope you're doing well!

I wanted to follow up about our relocation project; I'm very excited to let you know that we just signed a 10 year lease for a new space!
We will start actively working on the Canada Heritage application now, and I just wanted to confirm something I remember we discussed during our phone call back in May. 

There is another grant due in early December that we are planning on applying to, to cover some of the renovations for the new venue. I wanted to see with you if our request for this grant in addition to Canada heritage made up 2/3 of the budget, if that would be ok? Do we have to wait until we have the results from this other grant to be eligible to apply to Canada Heritage?

Congrats on the new space!

 

You don’t necessarily have to wait for an answer on the other funding before you submit your application to us. You can list it as “projected” revenue in your budget form and let me know when you think you’ll get an answer. If you haven’t met the 2/3 threshold without it, we will likely need to wait for a decision from that other body before we can make ours, so we’ll just have to keep in contact through that period until we can hopefully move it from the “projected” column to the “confirmed” column.

Hi Paul,

Thank you for the clarification to my questions! 

One of the grants we were planning on applying for has pushed its deadline from this fall of 2021 to March 2022, so we are thinking that we might have to push our timeline a little bit. I was wondering if there was any specific expectation for the other funds to come from provincial/municipal bodies, or if it could be from another federal program? 
I have been actively researching other available grants, but I was also wondering if you knew of any other programs that we could be eligible to apply for?

I have looked into the Enabling Accessibility Fund for expenses relating to making our space fully accessible, but the deadline for small projects is next summer. 
If you know of anything else, feel free to let me know.

I just had a follow up question after our call yesterday. I was wondering if we were to apply this fall for a project happening before March 2022, could we still be eligible to apply to the program for a second time to help fund the next (more ambitious) phase of the renovations?

Hi Camille,

Yes, you can apply absolutely apply more than once. Either for multiple projects or different phases of the same project. In your hypothetical, if we were to support the first project, we’d ideally want it to be either finished or at least well underway before we made a decision on the next application.

Perfect, that's great to know!
I had another question when I was compiling all the requirements for the application. There is a mention of the "tender and supply policy" and I have never worked with that before. I was wondering if you could give me some pointers and maybe a sample of what a tender looks like? It would be super helpful.

Hi Camille,

 

This is generally intended for organizations undertaking larger construction projects. The main thing we want to see is that there is no conflict of interest in the way contractors are hired, materials and equipment are purchased, etc.

 

Here’s an example of a pretty extensive policy from the city of London:

If your organization’s bylaws have a policy along these lines (possibly a good deal shorter), great, please include it.

 

Otherwise, for a relatively small project, if you can attach at least two written estimates from potential contractors, that will likely suffice. Obviously we’d expect to see concurrence between one of those quotes and the expenses listed in your project budget.
