Dear Alex,
Last night I tried to set up another export after adding labels to organize my inbox. The setup was easier to filter, but I was blocked from running it. Apparently I reached the limit for free use of the extension. If I were to keep using it, even to generate the initial export, I would need to subscribe as a pro user, which will charge me around $60 / month… 
This isn’t ideal, so do let me know if you find another option.

Thanks for this update! I'm out of office this morning, but wanted to share a quick update on my end. I figured out how to write some code to parse the emails directly into a spreadsheet! So, no need for an external tool anymore!

I met with Max this afternoon to review the solutions I tried, verify the concept, and discuss strategy for redaction. Max and I are going to meet again on Friday to review + test + strategize more thoroughly.

Here's what I know so far:
  1. Coding something custom to parse the emails is going to be the most time & labour efficient way to get the data we need in the right formats.
  2. Applying labels to the emails is still the best method for preparing to export all of the correct emails out of your inbox.
  3. Redaction will most likely be done later in the process – after the emails have been parsed and moved into the content management system (CMS).
  4. We haven't decided yet if we're going to use Wordpress or a custom CMS. We will choose based on what is going to offer the simplest, most efficient, and least painful way for you (and/or your assistant(s)) to redact emails and be able to edit redactions even after the site is live.

I'll send you another update on Friday after I meet with Max again!

Thanks for your patience in awaiting next steps.

I met with Max today and we decided on the following plan:
  1. Export the emails (Josh + Alex)
    You will export your emails by label using Google Takeout. When the export is done, you will receive an email from Google with a link to download your emails as a .zip file that contains an .mbox file. Alex will document this process, so that you have a clear guide for how to do it for any additional emails that you want to add later.
  2. Send us the exported emails (Josh)
    You can send us the .zip file via WeTransfer.
  3. Process the emails (Alex + Max)
    We will process the .mbox file using a script that parses all of the email data, content, etc. This enables us to view the email data immediately and verify that it works.
  4. Design the wireframes (Alex -> reviewed and approved by Josh, Farah, & Louis)
    We will design the skeleton of how the website will be organized.
  5. Decide how to manage the email data + Develop the website's back-end (Alex + Max)
    We will take the parsed email data and upload them to a CMS (either Wordpress or something custom, depending on a combination of factors that will determine what will be easiest for you to redact the content: website design, ease of use for mass editing, etc.). We can do this while Farah + Louis start working on the visual design.
  6. Redact the email data + Write additional content (Josh + potential assistants + Alex as support)
    Once the back-end has been built, Alex will train you on how to redact the email data. We can start doing this while Farah + Louis are still working on the visual design, or we can wait until visual design is finished, depending on your capacity at the time. You can also write any additional content (info about the project, etc.) at this time.
  7. Visual design (Farah + Louis -> reviewed and approved by Josh, Lauren, and Alex)
    Farah & Louis will design the visuals and details, fonts, colors, spacing, share image, favicon, etc. of the website based on the approved wireframes.
  8. Develop the website's front-end (Alex + Max)
    After visual design is approved, Alex and/or Max will write code that implements all of the styles defined in the approved visual design.
  9. Review content + Email data (Josh + any assistants)
    Review all content in the context of the visual design, making edits and giving feedback where needed.
  10. QA testing + Accessibility testing + Polishing (Alex + Max + Farah + Louis)
    Test and review the website on all browsers to ensure that it works and looks correct, and meets accessibility standards as much as possible.
  11. Prepare for launch (everyone)
    Final review of the website, configure website domain, hosting, analytics, etc.
  12. Launch (Max + Alex)
    Push the website live and it'll be all done and ready to share!

Next steps
  1. Would you be available to meet with me next week to export the emails using Google Takeout? Ideal for me would be something March 15-17.
  2. Do we have your permission to start creating the wireframes now?
  3. If we start creating the wireframes next week, we should be ready for a review meeting during the week of March 20.
