Hi Josh,

Thanks for the meeting today. Notes are below. I'll follow up with the instructions for Google Takeout + export folder by Monday, March 20 at the latest (likely EOW).

Agenda

  • Record meeting

  • Review exporting emails system

  • Explain how to create labels by month

    • Do one month together

  • Explain how to export emails using Google Takeout

  • Explain how to send emails (Dropbox? Wetransfer? Drive?)

    • How many gigs are needed?

    • Possibly ask Farah to update permissions for a dropbox folder so Josh can upload .mbox files directly

Next steps

  • Josh

    • Create sub-labels in Gmail (by month or by groups of 100-200 emails)

    • Export emails by sub-labels using Google Takeout to a folder (TBD)

    • Confirm consent with last three people

  • Alex

    • Create instruction manual for Google Takeout (send via email)

    • Check on exporting to shared dropbox/drive folder

    • Finish wireframes & review them with Max, Farah, & Louis

  • All

    • Wireframe review meeting on March 28 at 10am ET

Take care,
Alex

Hi Josh,

Thanks for your kind words. I’m so glad that you’re feeling reassured!

Here’s the export guide I promised to send: The Employee Export Guide Google Takeout

Let me know if you have any questions!

Otherwise, I’ll see you on March 28 to review the wireframes.

Have a great week,

Alex

dear Alex, Farah, Mark and Lauren,
just a couple of updates.
1. I regained access to The Employee email account.
2. I ran Google Takeout to export the emails from thi account in the mbox format
Everything worked fine, so far as I can tell (without being at all able to read the mbox files).
I followed Alex's advice for labeling in chunks, but when I did the export I accidentally double-exported one label (101-150, I think) and somehow label 51-100 ended up in Takeout 4. I think it's ok since ultimately these will be ordered chronologically, but just to give you a heads up that the labeling and exporting is not entirely chronological.
Here are links to the files. These are just for The Employee account. Once you confirm that this works, I will apply this to my account, which will take longer because there are way more emails.
thanks and to be continued!

Hi Josh,

So glad you regained account access! PHEW!

For your second point, I'll make sure Alex and Farah see this, and we'll get back to you shortly.

All the best + more soon,
mark

Yes, me too! That’s another reason why I did the export immediately. Just to secure the information.
So once Alex or Max confirm this export as sufficient, I will feel more independent of the change of staff at FCG.

Hi everyone!

Thank you so much Josh! This is perfect.

I just downloaded the folder you shared with me and imported all the mbox files into the email viewer back-end that Max created. So far, everything looks good. I'll double check with Max on Tuesday and confirm then :)

However, It seems I may be missing the emails 181-199. Were these intentionally left out?

hi Alex,
great that it looks like it worked!
to answer your question, emails 01-181 were in the "sent" folder. So I labeled those first.
Then I started from the end of the project (Oct. 15, 2021), and exported those starting at 200. So 181-199 don't exist.

Ok! Thanks for the clarification. We got it then!

I'll get back to you on Tuesday (latest Wednesday) after I double-check it with Max ~

Have a great weekend and best of luck with the grant marathon!

Hi again,

I met with Max yesterday and everything is looking good! It worked great :) We'll move ahead with building the back-end now and follow-up with another update in a week or two.

With care,
Alex

Awesome, thanks for the update!
I am super excited that this works!!
Thanks for the good news.
I am wondering if there is a way for me to start transferring the redactions over to what has been exported, or if I need to wait for the back end to be built?
No problem either way, just wondering what I should be doing.

(I can certainly export my inbox, but the redaction will take the most time and can't really be done in one sitting, so if it is possible to get started on it as soon as possible, that would be great)

You'll need to wait for the back-end to be built before you can start transferring the redactions over. Max will get started on this next week, so we'll have an update for you then. I estimate that we could have the back-end ready for you to start using around the week of April 24.

In the meantime, I think @Farah Khan will be working on the art direction and book design.

Does that work for you?

Take care,
Alex

All good. Just wanted to know, because it will be a lot of work but no stress whatsover, take the time you need.
Thanks so much, Alex!
